02What We Collect

To register teams, run events and publish standings, we may collect:

• Name or display name
• Email address
• Discord username and Discord user ID
• Gamer tag or platform ID
• Team name and roster information
• Communications you send to staff
• Technical and analytics information, if the site uses analytics
• Event scores and eligibility-verification materials you submit
• Other information needed to administer a specific event

03What We Never Ask For

Arcane Tourneys does not request or store:

• Game account passwords
• Console or platform passwords
• Two-factor authentication codes
• Full payment-card numbers

04Why We Collect It

• To run events. Registration, check-in, brackets, scoring and standings.
• To verify eligibility and enforce the Competition Rules and Code of Conduct.
• To communicate with you about an event you entered.
• To publish results. Team names, gamer tags and standings appear publicly on the site.
• To keep the community safe, including investigating reports and enforcing suspensions.
• To improve the site, if analytics are in use.

Publishing standings is part of running a public competition. If you enter an event, expect your team name, gamer tag and results to be publicly visible.

05Service Providers

We use third-party services to operate. Depending on the feature, these may include website hosting, authentication, email, Discord, registration tooling, analytics and payment providers. Those providers process data on our behalf under their own terms.

Each provider has its own privacy policy, and their handling of your data is governed by that policy. We recommend reading the policy of any service you sign in with, including Discord.

06Access, Correction and Deletion

You may ask us to show you what we hold about you, correct it, or delete it. Write to [support@arcanetourneys.com] from the email address associated with your registration, or contact staff through the support channel.

We may need to keep some records to preserve the integrity of completed competitions, such as published results and enforcement decisions, and to meet legal obligations.

07How Long We Keep It

We keep information for as long as needed to run the event it relates to, resolve disputes, enforce our rules and meet legal obligations. Published competition results and enforcement records may be kept indefinitely as part of the competitive record. Communications and verification materials are kept only as long as they are needed.

08Security

We take reasonable steps to protect the information we hold. No website or internet transmission is completely secure, and we cannot guarantee absolute security. Please do not send us information you would not want stored, and never send credentials.

09Children and Minors

Events have posted minimum age requirements. We do not knowingly collect information from anyone below the minimum age for an event, or below the minimum age required by applicable law. If you believe a child has provided us information, contact us and we will delete it.

10Changes to This Policy

We may update this policy. The effective date at the top shows when it last changed, and material changes will be announced in the Arcane Tourneys Discord announcements channel.
